LexArts is a non-profit organization that works for the development of a strong and vibrant arts community as a means of enhancing the quality of life in Central Kentucky.  As the local arts council, LexArts provides a wide range of programs designed to integrate the arts into our daily lives, including the LexArts HOP, Arts Showcase Weekend, public art and more, and also offers affordable exhibition and performance space for eligible organizations.  As the united arts fund of Central Kentucky, LexArts has raised millions of dollars in support of local arts through its annual Fund for the Arts Campaign.  With these funds LexArts provides general operating support for six of beneficiary organizations and offers competitive grants for community arts development programs and projects.

Position Description

The Development and Administrative Assistant (DAA) provides administrative support to all LexArts staff and volunteers, with priorities in development, finance and operations. The DAA is responsible for the management of the donor database including procedures for record creation and maintenance; gift processing; data entry and tracking; report creation; and donor recognition correspondence.  The DAA performs key administrative work:  regular communication with the Board of Directors, answering the phones and directing visitors to the appropriate staff person or arts organization, assisting with meetings and events, ordering office supplies, and assisting with managing the facility.  


Specific Responsibilities

Development Assistance

  • Process all donations and file records
  • Enter and track donor data
  • Prepare and send donor recognition letters and premiums
  • Create reports as requested
  • Complete weekly and monthly reconciliations with Finance
  • Manage calendar and resources for Development Department

Administrative Assistance

  • Answer phone and respond to visitors; provide assistance and direct to the appropriate staff person or other arts groups as needed
  • Open, sort, distribute and otherwise handle incoming mail; post out-going mail
  • Prepare and record daily receipt of revenue
  • Handle routine purchases for LexArts' administrative offices
  • Manage inventories of supplies
  • Ensure that maintenance and repair vendors have the necessary information and access to the building to complete their repairs, working in tandem with the Operations Manager as appropriate and necessary
  • Check the ArtsPlace calendar daily for events/meetings. Communicate with LexArts staff regarding upcoming events/meetings and clarify responsibilities
  • Serve as administrative liaison to Board members, sending meeting reminders and other communications; maintain and update the Board calendar and other board materials and lists
  • Handle meeting preparations, including preparing or copying materials for Board, committee and other LexArts meetings 
  • Organize, maintain and update organizational hard-copy and electronic files
  • Draft or handle routine correspondence as directed
  • Assist with research or other projects as directed by the President/CEO and Finance/Operations Manager

Required Work/Life Experience and Skills

  • Undergraduate degree in arts or business administration and/or relevant life/work experience
  • Experience in nonprofit development strongly preferred
  • Experience with donor management software strongly preferred
  • Ability to work within a team structure
  • Customer service orientation; able to interact with people of diverse backgrounds
  • Ability to attend to detail
  • Self-motivation and organization skills; ability to prioritize and manage multiple projects and deadlines
  • Excellent written and interpersonal communications skills
  • Excellent computer skills, with proficiency in all Microsoft Office programs
